Complete the New Sonar Account Set-up Form

Complete the Sonar New Account Set-up Form to provide the account contact, user, and call-routing information your onboarding team needs to prepare your Sonar account. Work through each section of the form, then electronically sign and verify your submission by email to complete the process.

Save your progress and resume later

Select Save my progress and resume later to pause the form and return to it later.

Enter your email address, create and confirm a password, and then select Save. Your password must contain:

  • at least 12 characters;
  • one uppercase letter;
  • one lowercase letter;
  • one number; and
  • one special character.
Example: The “save your progress” option is expanded.

To continue later, select Resume a previously saved form and enter the email address and password you used to save the form.

 

Tell us about your business 

Start by entering your organization's details and the information for its primary contact.


Add authorized contacts

Select the contact role or roles that apply to the person you are adding. A contact can have more than one role. Select Add Another Contact if another person should be listed as an authorized contact. For each additional contact, provide their:

  • first and last name;
  • email address;
  • phone number;
  • extension number, if applicable; and
  • applicable contact roles.
Contact role Access

Administrator

Full account control, including serving as the primary contact for contract changes and official requests and managing Team Member permissions.

Billing

Access to invoices, payment details, and billing history. Billing contacts cannot authorize service or call-flow changes.

Technical

Authorization to request system changes, including call-flow setup, and access technical troubleshooting. Technical contacts do not have access to billing or contracts.

Contact verification is required

The contacts entered in the form are not added to the account until the form is signed and the signatory completes the email verification process.

 

When the required contact information is complete, continue to the next section of the form.


Tell us how you handle calls

Use the final section of the form to describe your communication goals, business hours, caller greeting, and how calls should be routed to specific departments or teams. Your answers give the onboarding team the details they need to build your initial call flow.

For example:

Our main business number should ring the receptionist first during regular business hours, Monday to Friday from 8:30 a.m. to 5:00 p.m. If the receptionist does not answer after 20 seconds, the call should ring the Customer Service team. If no one answers, send the caller to the company voicemail.


Goals and communication headaches

Use this section to describe any communication challenges you want your new setup to address and any goals you have for how calls should be handled. Include enough detail for your Onboarding Specialist to understand what is working today, what is not, and what you would like the new call flow to accomplish.

Example: Text entry to describe your communication goals and current pain points. 

Operating hours & schedule

Enter your regular business hours so calls can be routed correctly based on your schedule. Then select what should happen when someone calls after hours:

  • Play an after-hours greeting and send callers to voicemail.
  • Provide an after-hours menu with urgent options.
  • Forward calls to an emergency or on-call mobile number.
  • 24/7 Operation (Same Greeting All Day).

First impression & greeting

Choose how callers should be greeted when they dial your main company phone number. For How would you like main line calls to be handled initially?, select one of the following:

  • Auto Attendant or Welcome Menu: Play an option menu.
  • Direct Ring: Ring directly to a specific person or team immediately.
  • Simple Greeting: Play a brief welcome message, then ring your main office line or a Ring Group.

For How will you provide your greeting audio?, select one of the following:

  • I will upload/provide an existing audio recording.
  • I will type my script below for automated voice/text-to-speech.
  • I would like a quote for net2phone professional voice recording services.

Department & team call routing

Define how calls should ring when they are sent to a specific team or department. For each department or team:

  1. Enter the department or team name.
  2. Enter the names or email addresses of the Team Members who should receive calls for that team.
  3. Select how the Team Members' phones should ring when a call comes in.

The available ringing options are:

  • Ring All: Routes callers to all available agents simultaneously.
  • Ring One-by-One: Routes callers to available agents in a predefined order.
  • Linear Cascade: Routes callers to groups of available agents in a predefined order.
  • Round-Robin: Routes callers to the available agent who has been idle the longest.

Round-Robin pricing

Round-Robin call queues may incur an additional charge because they are not included in most standard plans. Your Onboarding Specialist can provide pricing details during your review.

 

Select Add another response to add another department or team.

Download the user template

If you have multiple Team Members to add, download the user list template and enter their details in a single file. Enter each Team Member's first and last name, preferred extension, phone model, and email address, then email or upload the completed template to your Onboarding Specialist as directed.

Your answers provide the onboarding team with a starting point for configuring your account. Your Onboarding Specialist will review the information with you and confirm any details that need clarification before finalizing your call flow configuration requirements.


Review, sign, and submit the form

After completing the form, review your responses on the signing page. Select Make a correction near the submission controls if any information needs to be updated.

Check the following information carefully:

  • your contact information and assigned roles;
  • any additional authorized contacts;
  • your Sonar user and extension information; and
  • your call-routing preferences.

After reviewing your responses, complete the electronic signature at the end of the form.

  1. Draw your signature in the signature field, or select or type your name to sign.
  2. Enter your name.
  3. Enter your email address.
  4. Select Submit Signed Response.

Incomplete response

Your response remains incomplete until you select the verification link sent to the email address entered in the signature section.

 

Verify your signature by email

After submitting the signed response, check your email for a message from FormAssembly Notification.

  1. Open the verification email.
  2. Select the verification link in the message.
  3. On the Signatory Verification page, select Verify Identity.

Select Verify Identity to complete the signatory-verification process.

When verification is complete, the Signatory Verification page displays Thank you. You are now verified.

You may select the link on the confirmation page to access your E-Signature Record. The record may remain incomplete while it is being sealed and finalized. FormAssembly will send another email when the final record is available.

After you verify the form

Your onboarding team will review the submitted information and contact you if any details need to be confirmed before your Sonar account is configured.
