Every onboarding process is a little different. At net2phone Canada, we always strive to provide the best service possible, so we have outlined exactly what you can expect!Â
Required DocumentationÂ
After your onboarding agent has reviewed your organization's needs, you must complete some documentation, which will be sent via email.Â
To start setting up your account, you will need to fill out 3 essential forms.Â
Please Submit Forms within 48 Hours!
After you receive the required form emails, please complete them and return them to your onboarding agent within 48 hours.Â
(1) Account Set-Up FormÂ
Account Set Up Form is an online input form created to list all your extension information and specify any call flow needs. The form has two sections:Â
- a list of users' first and last names, and,Â
- user emails (voicemails will route to the email provided), with extension numbers (which should be 3-4 digits long).
Download our net2phone Canada User Information spreadsheet, and fill in your user information. When finished, please email the filled form to your net2phone Canada onboarding agent.Â

(2) Contact Assignment Form
Contact Assignment Form allows you to designate authorized contacts for your account. Please note that Admin contacts can request any changes made to the account, and Billing contacts will receive your invoices by email.Â
(3) Online Porting Form
Online Porting Form lists the phone numbers you want to be transferred to our system (if applicable). Before you do so, please review this Number Porting Information.

Once your onboarding agent receives your completed documents, they will create your Sonar account, import users, and configure an approximate call flow based on your initial conversation. If applicable, our agents will order hardware for your location.
Product TrainingÂ
Once we have created your account, your onboarding agent will contact you to schedule a training session on our web portal, Sonar. During this session, you can ask questions and learn how to manage your system and configure your call flow to meet all your business needs.
After completing the training (and receiving any requested hardware), you will test the system using our recommended Deployment Test Plan. If you received phones, connect them to the appropriate locations in your office; phone extensions will appear on the screen after booting. We recommend that you—or your authorized IT contact—review our Optimization Guide for Enterprise Networks for our recommended network settings.
Number Port and BillingÂ
After testing the system for a week, we will submit the Number Port request, which typically takes 5-7 business days to complete, depending on the information provided on the form.
