Broadcast Announcements Over Desk Phones

Looking for an easy way to make announcements across your organization? Poly and Yealink desk phones come equipped with a built-in paging feature that lets you broadcast messages to all connected devices with just a few taps. For instance, you can quickly notify everyone about a team lunch or an important meeting.

How to Check if Paging is Enabled

If you have paging enabled, you will have either:

A configured paging soft key
If your phone has a Paging soft key, the feature is active.

Hardware specific paging button
Some phones have a dedicated paging button. Press it—if you see more options than just “(empty)”—paging is enabled.

 

Using the On-Device Paging Feature

You can broadcast a message using the paging feature by following the steps below. 

  1. On your desk phone, press the Paging soft key or Paging button, 
  2. Choose one of the following groups:
    1. Default: will send a page to all phones, not on a call
    2. Recent: will send a page to all phones, not on a call (same as Default).
    3. Priority: will barge into an active call at the adjusted volume level over the intercom.
    4. Emergency: will barge into an active call over the intercom at maximum volume.
  3. Press the Page soft key/button again to broadcast your message.
  4. To end the broadcast, press End Page
    Alternatively, you will end a paging broadcast by pressing any line key, or picking up the receiver.

The instructions detailed below are based on standard Yealink paging setups. Please be aware that your organization may have customized hotkey configurations with unique call park slots and paging broadcast processes.

Paging will broadcast a message to all connected Yealink devices.

  1. Press the Paging hotkey, typically located on the 8th button (bottom right) of your phone.
  2. Speak into the receiver’s microphone to broadcast your message.
  3. Hang up once you’ve finished your announcement.

How do I place someone on hold so they can pick up the call on a different phone?

With hotkey paging enabled, placing someone on "hold" looks slightly different than when you intend to retrieve the call from the same device. In this situation, you want to place the call on hold in a call park slot. 

  1. During a call, press one of the Call Park Slot buttons.
    Call Park Slots are commonly labelled as Line 1, Line 2, or Line 3; and have corresponding buttons on the left side of your phone. 
    Ensure you choose an empty call park slot; the LED light will be illuminated if the park slot is currently occupied.
  2. To retrieve the call, press the corresponding Call Park Slot button on any connected Yealink device.

Someone called; I need to page a coworker to take the call. How can I do this?

Similar to the steps above, call park slots are utilized to place the caller on hold before you can page (broadcast) for the intended recipient.

  1. Answer the call.
  2. Place the call on hold by pressing the Park button and choosing a Park Slot. 
    Ensure you choose an empty call park slot; the LED light will be illuminated if the park slot is currently occupied.
  3. Page the appropriate person to retrieve the call by following the paging steps above.
  4. Once the page is complete, hang up and let the intended person pick up the parked call from any connected Yealink device.
