Huddle's Pre-Lobby Settings and In-Meeting Controls

Prepare your audio and video before joining a Huddle, then use the in-meeting controls to share content, chat, and manage participants. Use this guide to find the settings and features you need before and during a meeting.

Notes and requirements

  • Allow your browser to access your microphone and camera when prompted.
  • Screen sharing may also require permission in your computer’s settings.
  • Some meeting features require moderator permissions.
  • Breakout rooms require at least three participants.

Pre-lobby settings

Prepare for your meeting by checking your equipment and adjusting your preferences. Open Huddle’s settings from the home page before entering a meeting.

Open your settings

Sign in to Huddle, then open your settings:

  1. On the Huddle home page, click the gear icon next to your profile.
  2. Select a settings tab.
  3. Review or adjust the options you need.

Check your audio and video

Confirm that Huddle is using the equipment you want to use for the meeting.

  • Audio — Test your microphone and speakers.
  • Video — Check your camera preview.
  • Virtual Backgrounds — Select a blurred background or an image.

If your microphone or camera is unavailable, check that your browser and computer have permission to access it.

Adjust your meeting preferences

Review the remaining settings to customize how Huddle works for you.

  • Notifications — Turn sound alerts and chat pop-ups on or off.
  • General — Enable the pre-meeting camera check.
  • Calendar — Connect your calendar. See Huddle calendar integration for instructions.

In-meeting controls and features

Once you join a Huddle, use the meeting controls to manage your audio and video, communicate with participants, and share content. Select a topic to jump to its instructions:

Manage your microphone, camera, and call

Your main controls appear at the bottom center of the meeting window.

  • Microphone — Turn your microphone on or off. Click the arrow beside the control to select an input source.
  • Camera — Turn your camera on or off. Click the arrow beside the control to select a camera.
  • End Call — Leave the Huddle.

Share your screen

Share your entire screen, one application window, or a browser tab with meeting participants.

  1. Click the Share Screen icon in the bottom-right corner of the meeting window.
  2. Select what you want to share:
    • Entire Screen — Everything visible on your screen.
    • Window — One application window.
    • Chrome Tab — One browser tab.
  3. Follow your browser’s prompts to begin sharing.

Having trouble sharing? Check your browser permissions and your computer’s screen-recording permissions. If you change a permission, you may need to restart your browser before trying again.


Send chat messages

Use chat to send a message to the meeting group or privately to another participant.

  • Group message — Click the chat bubble icon in the top-right corner of the meeting window.
  • Private message — Hover over a participant’s name, open the three-dot menu, and select Send private message.

Close the chat using the X in the chat window, or click the chat icon again.

Raise or lower your hand

Raise your hand to let the host or moderator know you would like to speak.

  1. Click the Reactions or Raise Hand icon in the meeting controls.
  2. Select Raise Hand.

To lower your hand, open the same control and select Lower Hand.

Use emoji reactions

Send an emoji reaction to respond without interrupting the conversation.

  1. Click the Reactions icon in the meeting controls.
  2. Select a reaction.

Moderators can clear reactions to reset the emoji count displayed in the meeting window.


Grant moderator rights

Moderator permissions allow participants to manage meeting features, including breakout rooms and YouTube sharing.

  1. In the participant list, open the three-dot menu next to the participant’s name.
  2. Select Grant Moderator.
  3. Confirm the change.

Create a breakout room

Moderators can use breakout rooms for smaller group discussions. At least three participants must be in the Huddle.

  1. Open More Actions in the bottom-right corner.
  2. Select Create a Breakout Room.

  2. Select the participants to invite.
  3. Click Create Room.

Invited participants receive a private message containing the room link. Guests who joined by phone receive a text message, and the room creator receives an email with the room details.


Share a YouTube video

Moderators can play a YouTube video directly in a Huddle. Copy the video URL before starting.

  1. Open More Actions.
  2. Select Share a YouTube Video.
  3. Paste the video URL.
  4. Click Share.

The video appears in the meeting. Hover over it to access playback controls, volume, captions, and quality settings.

To stop sharing:

  1. Open More Actions.
  2. Select Stop Video.
  3. Click Confirm.
